This role is a 6 month fixed term contract. The purpose of the Business Analyst is to help grow our R&D program portfolio in deep digital technologies in line with our Technology Road Map and core sectors.
You need to have strong project management skills to be able to work with clients, and partners to deliver quality proposals and to see them through contracting to mobilisation. This will require working with internal stakeholders, external industry and academic partners and processes to ensure proposals are delivered on time.
You will have experience of working with public funders, and in particular UKRI, Research Councils, Innovate UK or Horizon Europe, or experience of DSIT, DBT, DfT, DCMS, DESNZ, MoD would be beneficial.
You will be an operational person with experience in process development and adherence.
WHAT YOU’LL DO (Duties)
Bid Qualification
- Work with the business analyst to research, filter and compile the list of upcoming funding opportunities.
- Ensure opportunities meet scope and eligibility requirements.
- Coordinate with internal stakeholders and external partners to develop potential opportunities, supporting the team through processes and approval gates.
Bid Management
- Create bid plans and coordinate bid teams to ensure funder deadlines are met, while following the internal bid process.
- Ensure that tasks on the project are clearly defined and agreed with internal and external stakeholders & progressed to the agreed timescale, budget and impact using the appropriate controls, processes, procedures, and reporting, whilst providing a clear audit trail.
- Work with delivery and project management teams to ensure solution is scoped and appropriate cost and schedule information is prepared.
- Communicate regularly and clearly with the bid team. Report through regular status updates; initiate and run regular stand-up meetings, update sessions and workshops as needed.
- Coordinate the bid submission, identifying documentation requirements from the funder and needed input from the relevant stakeholders, working with the rest of the bid team to distribute tasks to planned timelines.
- Map out contracting and Legal requirements, identify needed documents and contracts.
- Coordinate the contracting process through to signature, collaborating with internal and external stakeholders to achieve this. Ensuring it follows the appropriate Legal processes.
- Ensure all documentation is organised and kept in the relevant folders, from submitted proposals to signed contracts.
- Enthuse and motivate the bid team, setting priorities and resolving risks, issues and dependencies as required.
Business processes
- Develop, review and improve new and existing business development processes.
- Work with the team to ensure processes are being followed, according to ISO standards.
- Continuously review outputs of lessons learned to improve the bid processes and ways of working.
Pipeline management
- Own the pipeline and forecast processes.
- Work with the Business development team and wider organisation to keep the pipeline up to date, ensuring all opportunities are included and information is correct and up to date.
- Work with the Business Analyst and Director of CR&D partnerships to produce the monthly forecasts.
- Run the weekly pipeline meetings ensuring opportunities are flowing smoothly and timely through the process to submission, roles and responsibilities are assigned and actions are being followed up.
WHAT WE’RE LOOKING FOR (Experience)
- Hands-on project management experience in a technical setting, managing multiple stakeholders.
- Knowledge of project management tools such as Jira, SmartSheets and MS Project.
- Experience in delivering cross-functional projects in a matrix organisation structure.
- Proactive and self-confident, adaptable to ambiguity, change and evolving priorities with excellent communication and people skills.
- Comfortable with delivering both fast-paced short-term projects as well as measured long term projects.
